Office Administrator

About the role:

SoftCo have an exciting opportunity for an Office Administrator to join our Finance and Administration team. Based in Helsinki, Finland, the successful candidate will report to the Group Financial Controller and will support operations by managing all aspects of administration within the office. You will be work closely with the group finance team in the delivery of standard finance tasks including bookkeeping, maintenance of records and reporting.

Your role:

  • Provide support to the SoftCo group finance team including bookkeeping, billing, invoices and expenses processing
  • Manage contract and price negotiations with office vendors and service providers
  • Partner with HR on the recruitment of new staff including selection, induction, training and upkeep of employee records
  • Maintain a safe and secure working environment including adherence to policies and regulations
  • Reception duties
  • Keep well organised files and records of company activities
  • Co-ordinate meetings and schedules, assist in planning and arranging events
  • Ordering office stationery and other supplies with attention to office budget
  • Co-ordinate travel & accommodation arrangements for employees
  • Ensure adherence to company policies and procedures
  • Other ad-hoc duties

Your profile:

  • A college degree or similar qualification in administration/finance related field
  • Minimum 1+ years’ experience working in a busy office environment
  • Excellent written and verbal communication skills
  • Good attention to detail and ability to multi task
  • Able to complete administrative tasks with minimal supervision
  •  Good working knowledge of MS Outlook, Word and Excel
  • Working knowledge/understanding of accounting processes and procedures
  • Fluency in written and spoken English
  • An eagerness to learn with a strong work ethic
